Privacy Policy
How we collect, use and look after your personal information, and how this website uses cookies.
Who we are
Devon Roofing And Building SW LTD (“we”, “us” and “our”) is a roofing and building company working across Devon and the surrounding areas. This policy explains what personal information we collect through this website and when you deal with us, what we do with it, and the rights you have.
For data protection law we are the “controller” of your information, which means we decide how and why it is used.
If you have a question about this policy, or about the information we hold about you, contact us:
- Email: info@devonroofingbuilding.co.uk
- Phone: 01392 703 612 or 07772 433445
The information we collect
Information you give us
When you ask for a quote or get in touch, whether through a form on this website, the “Start a quote” assistant, by phone, by email or on WhatsApp, we collect what you tell us. That is usually:
- your name;
- your phone number, and your email address if you give it;
- the postcode of the property;
- details of the job, such as the type of work, when you would like it done and anything else you choose to tell us, including any photos you send;
- the best time to call you, if you tell us.
Our forms also tell us which page of the website they were sent from. What you enter is sent to us by email.
If we go on to do work for you, we also keep the information we need for the job and for our business records, such as the address of the property, our quotes and invoices, records of payments and photos of the work.
Information collected automatically
Like most websites, this one is kept on a server run by a hosting company. Each time a page is requested, the server records standard technical details in its logs: the IP address of the device, the date and time, the page requested and the type of browser. We use these only to keep the website secure and working properly.
The small panel of customer reviews in the corner of the page is provided by Star Reviews. Your browser fetches it from that service's servers (reviews.starreviews.co.uk and embed.localimpact.com) each time a page loads, so, like any web server, they receive your IP address and the type of browser, and can see that the request came from this website. The panel does not set cookies.
How we use your information
The law says we need a valid reason, called a “lawful basis”, each time we use personal information. We use yours for these purposes:
- To reply to you, arrange a visit and give you a quote. This is needed to take the steps you have asked for before a contract. If you contact us about something else, we rely on our legitimate interest in answering enquiries.
- To carry out the work, take payment and honour any guarantee. This is needed for our contract with you.
- To keep the business and tax records the law requires. This is a legal obligation.
- To keep this website secure and stop spam. We rely on our legitimate interest in running a safe, working website.
- To deal with complaints, disputes and legal claims. We rely on our legitimate interest in putting problems right and protecting our business.
We do not use the details you send us through this website to send you marketing emails or texts, and we never sell personal information.
We do not make decisions about you by automated means. The “Start a quote” assistant is a short set of fixed questions. It sends your answers to us in the same way as our forms, and a person deals with every request.
Who we share it with
We only share personal information where there is a good reason to. That means:
- Companies that provide services to us, including our website host (20i Limited) and the providers of our email and phone services. They may only use your information to provide that service.
- Star Reviews, the service that shows the panel of customer reviews on this website. It receives only the technical details described above, not anything you send us.
- Our web agency, Star Websites, which looks after this website. It receives a copy of each enquiry sent through the website, so that it can check enquiries are reaching us.
- Other tradespeople and suppliers we use on a job, for example a scaffolding company, where they need your address or contact details to do their part.
- Our professional advisers and insurers, such as our accountant, where they need the information to advise us or to handle a claim.
- Official bodies, such as HM Revenue and Customs, the police, the courts or a regulator, where the law requires it.
- WhatsApp, if you choose to contact us that way. Your messages are also handled by WhatsApp, which is part of Meta, under its own privacy policy.
This website links to other websites and services, such as Google (for our reviews) and WhatsApp. They are responsible for their own privacy practices, so please read their policies too.
Information sent outside the UK
We are based in the UK. Some of the companies named above, such as WhatsApp and the provider of our reviews panel, may store or handle information in other countries, including the United States. Where that happens, the information is protected by safeguards that UK data protection law recognises, such as the UK-US data bridge or approved contract terms.
How long we keep it
- Enquiries and quotes that do not lead to work: for as long as we need them to deal with your enquiry and any follow-up, after which we delete them.
- Work we carry out: we keep the records of the job, such as quotes, invoices and payment records, for as long as the law requires us to keep business and tax records. That is normally six years from the end of the financial year they relate to. If we give you a guarantee that runs for longer, we keep the records for the length of the guarantee.
- Website server logs: for a limited period set by our hosting company.
Keeping it safe
This website uses an encrypted connection (HTTPS), so the details you enter in our forms are protected on their way to us. We limit access to enquiry and customer details to the people who need them for their work.
Cookies
This website does not use cookies, and it does not keep anything else in your browser. It has no analytics or advertising tags. The reviews panel in the corner of the page is loaded from another service, as described above, and does not set cookies either.
Your rights
Data protection law gives you the right to:
- ask for a copy of the information we hold about you;
- ask us to correct information that is wrong or incomplete;
- ask us to delete your information, or to limit how we use it, in some circumstances;
- object to us using your information where we rely on our legitimate interests;
- ask us to give you, or another organisation, the information you gave us in a commonly used electronic format, where we use it with your consent or for a contract;
- withdraw your consent at any time, where we rely on it.
To use any of these rights, contact us using the details under Who we are. It is free. We may need to check who you are, and we will reply within one month. If a request is complicated we may need longer, and we will tell you if so.
Complaints
If you are unhappy with how we have used your personal information, please tell us first, by email, phone or in any other way that suits you. We will acknowledge your complaint within 30 days, look into it, and tell you the outcome without undue delay.
You also have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator. You can do that at ico.org.uk/make-a-complaint or by calling 0303 123 1113.
Changes to this policy
We may update this policy from time to time, for example if we change how the website works. The date at the top of the page shows when it was last changed. See also our Terms and Conditions.
